Privacy statement

1. Who we are

Kokluxa BV ("we") is established at Malden, Gelderland, The Netherlands, Chamber of Commerce (KVK) number 84729103, VAT number NL84729103B01. We are responsible for the processing of personal data as described in this privacy statement. Contact: info@kokluxa.com · +31 6 12345678.

2. What data we process

When you calculate a quote or place a booking on https://kokluxa.com, we process:

• your name, email address, phone number and the city of the event;
• your booking details (date, package, number of guests, extras, amounts and status);
• the payment status of the deposit (we do not receive bank details or card numbers; they stay with the payment provider);
• technical data such as your IP address and the time of the booking (security and abuse prevention);
• messages you send us through the chatbot or by email, and the name, email address and phone number you voluntarily leave there.

3. Purposes and legal bases

• Carrying out your booking and issuing invoices (performance of the contract);
• Complying with legal obligations, such as the tax record-keeping duty (legal obligation);
• Answering your questions and customer service (legitimate interest);
• Securing the website and preventing abuse (legitimate interest).

We do not take decisions based solely on automated processing and do not use your data for marketing without your consent.

4. Retention

We keep booking and invoice data for 7 years (tax record-keeping duty). Chat conversations and messages sent through the contact form in the chat are kept for 12 months at most. Other data is kept no longer than necessary for the purpose for which it was collected.

5. Sharing with third parties

We only share data when necessary for our services, with:

• Mollie B.V. (processing of iDEAL payments);
• our hosting provider (storage of the website and data);
• the chatbot provider (Google Gemini or OpenAI), only when you use the chatbot. Please do not share sensitive information in the chat.

Where required we conclude data processing agreements. We do not sell your data.

6. Cookies

We only use functional cookies (for example to remember your language choice). These do not require consent. If we later use analytical cookies, we will ask for your consent first.

7. Your rights

You have the right of access, rectification, erasure, restriction, portability and objection. Send your request to info@kokluxa.com; we respond within one month. We may ask you to identify yourself. You can also file a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

8. Security

We take appropriate technical and organisational measures: an encrypted connection (HTTPS), a protected admin area with secure passwords and restricted access.
